IUPUI Federal Work-Study (FWS) Program Award Confirmation

If you wish to use FWS funds at an approved IUPUI community work-study site position, please submit your financial aid notification (FAN) letter to the agency before the interview or after being offered the position. Finding an Approved Community Work-Study Position

Our office does not place students in positions. You will need to secure a part-time position offer with an approved IUPUI community work-study agency before you can use your funds.  

Using the IUPUI JagJobs student jobs database would be the best way to find part-time positions for the IUPUI work-study program. Once you are ready to start searching, you can click Job Postings; within the search engine, you can select the IUPUI Work-Study Approved category.   

Already Have a Job?

If you are a student with an active FWS award and you have been offered a position for the current term, you can connect your work-study funds via the new JagJobs database! Once you submit your portion of the form, it will be forwarded to the supervisor that you listed on the form. Email notifications will be sent to the supervisor upon completion of your portion of the form. Both a supervisor and payroll officer will need to approve your request before we can connect your work-study funds.

Community Work-Study Hiring Paperwork

The Office of Student Employment is responsible for processing all community work-study hires. The following must be completed to connect FWS funds to a position for EACH term:

  • Submit Online FWS Authorization Form

Students and approved agency supervisors should submit the online FWS authorization form. Students submit theirs via JagJobs.org. Supervisors submit their portion via IUPUITalent.net.

  • Submit Background Check Paperwork and Community Work-Study Online Survey

Background check forms and I-9 verification forms need to be current to connect FWS funds to a position. Background check forms should be completed, signed, scanned, and emailed to fwsjobs@iupui.edu (for students working at approved IUPUI community work-study agencies).

If your job record is not current when you receive your FWS authorization form, you will be prompted to submit a background check form to the Office of Student Employment. In this same message, you will be asked to complete the community work-study online survey to request a time to attend an I-9 verification appointment. 

If you have a current job record, background check, and I-9 on file, no additional documents are needed. You will be processed for hire, and an effective hire email will be sent to you and your supervisor upon processing. It typically takes three to five business days to receive background check results once submitted and processed by the Office of Student Employment. Please be aware that processing times tend to vary throughout the year.

  • Complete I-9 Document Verification 

Students who have submitted an online FWS authorization form will be prompted to complete the community work-study online survey. This survey link is sent with the remaining steps in an email notification mentioned below.

All students should complete the community work-study online survey so they can set up a time to attend an I-9 verification appointment. Students without a current background check and I-9 verification form on file will need to attend an I-9 verification appointment with the Office of Student Employment before they can begin working.

I-9 Verification Appointments

Appointments are scheduled for Thursdays from 2 p.m. to 3:30 p.m. If you are not available during these hours, email fwsjobs@iupui.edu and provide a date and time when you can complete the appointment.

Students should receive an I-9 appointment confirmation email from the Office of Student Employment before attending the I-9 session. During the session, students will complete I-9 paperwork, review community work-study program updates for the academic term, and can ask any questions about community work-study, time sheets, direct deposit, etc. If there are pending steps, students will walk away with an understanding of what is needed to finalize their paperwork.

You should prepare to bring official pieces of identification to this appointment. No photocopies will be accepted. If you do not have the proper identification upon arrival at the I-9 verification appointment, you will need to reschedule for a new appointment by emailing fwsjobs@iupui.edu.

Acceptable identification documents: photo ID*, birth certificate, U.S. passport, Employment Authorization Document (EAD) card, U.S. resident card, Social Security card

Effective Hire Notification

An effective hire email notification will be sent to the supervisor and student one business day after the student has attended his or her I-9 verification appointment. If students have not set up a work schedule, this would be the most appropriate time to do so. If you experience delays or technical issues when connecting work-study funds for the term, please email fwsjobs@iupui.edu.

Students cannot start earning FWS funds in a community work-study position until after their effective hire email is sent from the Office of Student Employment. This email will provide the date in which the student's funds were connected to the position to begin earning for the academic term. It is sent to both the student and supervisor.

Effective hire emails can be sent in two business days if all hiring documents are completed and submitted. This email is sent to the student and supervisor on file.

FWS Award Increase Request

 If you are interested in a FWS award increase, please note the Office of Student Financial Services will only review and honor requests for students who: 

  • Have exhausted 75% of their FWS award
  • Have unmet financial need as seen on their financial aid package 

Please remember that increases are not guaranteed. All requests will be reviewed on an individual basis to determine if the student is eligible for an award increase.

Information requested:
Student info: Student name, student ID, IUPUI email address
Job info: Department name, supervisor’s email address, average hours per week student currently works, hourly pay rate, number of weeks student plans to work from the date of the form submission, requested increase amount

Please note there are 36 weeks total in the academic year (including winter and spring break).

Students and departments will be notified via email if an increase has been given with three to five business days upon receiving the request. Please gather ALL information requested on the form below before attempting to submit (all fields are mandatory).
